Coordinator and Assistant to the Vice President of Communications & Marketing

The Foundation is currently seeking a Coordinator and Assistant to the Vice President to work within our Communications & Marketing Department. 

The position will provide critical support for the Department, primarily to the Vice President of Communications & Marketing and secondarily to colleagues within the Communications & Marketing department.

Duties include direct high-level customer service via phone, email, and in-person, complex scheduling and calendar management, interacting with Foundation stakeholders, public officials, grantees, and donors, managing department expenses and expense reports, greeting guests, reserving and preparing in-person and virtual meeting spaces, assisting with event coordination and logistics, working within the Foundation’s databases of record, preparing meeting agendas and minutes, preparing correspondence, assisting with cross-departmental coordination, and more. 

Accuracy and attention to detail are essential to successfully filling the requirements of this job. 

Familiarity and comfort navigating the Foundation’s programs and processes will be an essential skill. A working knowledge of communications, marketing, and public affairs is a plus.

The ideal candidate will have a minimum of five years’ experience as an administrative or executive assistant in a fast-paced environment. Experience in a professional office setting with customer contact is preferred, as well as technology skills including data entry and reporting, document preparation, proficiency in Microsoft Office programs, and some familiarity working with databases. 

A college degree or administrative assistant certificate is preferred.

The candidate must also have strong problem solving and analytical skills, strong verbal and written communications skills, and approach working as part of a team in a collaborative manner.
