Grants & Community Investments (GCI) Coordinator and Assistant to the Vice President of GCI

The Foundation’s Grants & Community Investments (GCI) department is currently seeking a GCI Coordinator and Assistant to the Vice President of GCI. The position will provide top administrative support to the Vice President of GCI and will provide overall support to department team members, and for various programs managed by GCI. Outstanding attention to detail, customer service, accuracy, and sense of urgency are required.
Duties include direct high-level customer service to nonprofit organizations, Foundation colleagues, and other partners; complex scheduling and calendar management on behalf of department team members; and administrative responsibilities, such as preparing department team members for and the tracking of all internal and external meetings, answering phone and email inquiries, managing and tracking expenses and expense reports, greeting guests, reserving and preparing in-person and virtual meeting spaces, coordinating catering for small and mid-size groups, working within the Foundation’s databases of record, providing basic research, electronic filing, preparing meeting agendas and minutes, preparing correspondence and proofreading, managing spreadsheets, assisting with cross-departmental mailing lists, and other duties as assigned.
Accuracy and extreme attention to detail are essential to successfully fulfilling the requirements of this job.
The ideal candidate will have a minimum of five years’ experience as an administrative or executive assistant; experience in a professional office setting with customer contact, the ability to balance competing priorities and work with multiple team members in a collaborative manner, and exceptional organizational skills.
The ideal candidate will have strong technology skills; including data entry and report generation, document preparation, proficiency in Microsoft Office programs, and familiarity with working with databases.
The ideal candidate must have a positive attitude; and be committed to, and driven by, the Foundation’s mission and values.
A college degree or administrative assistant certificate is preferred.
