Administrative Assistant: Finance and Administration

The Foundation is currently seeking an Administrative Assistant for our Finance Department to support the Vice President of Finance & Chief Financial Officer and department staff, and the Vice President of Human Resources, with a strong focus on attention to detail, customer service, accuracy, and speed.

Duties include direct high-level customer service to our internal and external customers (including Foundation Board members in their committee-member roles), scheduling and calendar management on behalf of department staff, coordinating meeting preparation logistics, working with confidential data containing salaries and budget information, and other administrative tasks, such as generating and managing Excel reports and managing certain committee contact databases.

Accuracy and extreme attention to detail are essential to successfully filling the requirements of this job.

The ideal candidate is someone who is comfortable with data, numbers, spreadsheets, and creating reports. There will also be internal and external customer contact, hence, a minimum of two years’ related experience in a professional office setting is important. The ability to manage calendars is a key part of this job.

The incumbent should have the ability to work in a fast-paced environment, balance competing priorities, and work with multiple team members in a collaborative manner.

Proficiency in Microsoft Office suite programs, exceptional organizational skills, as well as excellent interpersonal skills, with an emphasis on a high-level customer service approach. Familiarity working with databases is helpful.
