Administrative Assistant: Equity Leadership Initiative

The Foundation is currently seeking an Administrative Assistant to provide operational support to the Vice President & Executive Director of our newly created Equity Leadership Initiative. The incumbent will be the first point of contact, providing high-level operational and administrative support, while supporting program development and the Initiative’s growth. The team member providing administrative support to the Equity Leadership Initiative will require a strong focus on attention to detail, customer service, accuracy, and speed. This position is responsible for scheduling, managing the coordination and logistics of the program, invitation and RSVP tracking, and coordination with outside vendors. Duties include direct high-level customer service to the general public via phone, email, and in-person; complex scheduling and calendar management on behalf of the program; and administrative tasks, such as preparing for and the tracking of all external meetings, managing expenses and expense reports, greeting guests, reserving and preparing in-person and virtual meeting spaces, and coordinating catering for small and mid-size groups.

The ideal candidate will have a minimum of 3 years’ experience; experience in a professional office setting with customer contact; the ability to balance competing priorities and work with multiple team members in a collaborative manner; exceptional organizational skills; strong technology skills, including data entry and report generation, document preparation, proficiency in Microsoft Office suite programs, and familiarity working with databases; and previous understanding or demonstrated commitment to advancing racial equity.

A college degree or administrative assistant certificate is preferred.
